Non-Profit Finance Director

Firehouse Center for the Arts, a 30-year-old non-profit arts organization in the heart of historic downtown Newburyport, is looking to hire a Director of Finance. The Director of Finance is a key member of the Firehouse Leadership team who exercises discretion and independent judgment with respect to managing a variety of the organization’s finance and certain human resources functions. The essence of the role is serving as a strong, focused, central point of contact for the financial oversight of the theater and providing support and direction to the team. Ideal candidate is a strong financial leader and an energetic and positive professional who is able to manage multiple priorities while working in a dynamic and growing performing arts organization.

Essential Duties and Responsibilities:
Leadership Administration
? Participating as a member of the organization’s Leadership team; leading and working cooperatively and respectfully with colleagues to meet the organization’s financial goals and mission
? Working with Director of Operations to perform contract management with vendors, renters and third parties utilizing the theater
? Regularly attending and reporting at meetings of the Board of Directors and Executive Committee; preparing accurate and thorough monthly financial report for Board of Directors
 ? Participating on the Board’s Finance Committee as well as other committees as necessary; taking notes and scheduling meetings as requested
? Working closely with the Leadership Team to identify critical areas for improvement with regard to budgetary, expenditures and other financial matters that the Director of Finance identifies as well as those that may be identified by the Leadership Team
? Maintaining timely communications with other staff including via e-mail, and phone
? Attending and participating in organization-wide and other meetings, as requested, and performing other leadership duties as assigned
Finance (with support from Development Staff)
? Working with Finance Committee to oversee financial and accounting activities and manage business staff
? Managing the annual budgeting process, in collaboration with the Leadership team
? Reviewing and approve payrolls prior to final processing and reviewing payroll reports
? Supporting the Leadership Team in managing cash flow, monitoring revenue and expense, and in creating monthly financial reports
 ? Managing the provision of insurance including the business package, Directors & Officers, and worker’s compensation insurance
? Regularly reviewing AP and submitting invoices to Leadership Team for payment
? Inputting all transactions and processing checks for Leadership Team signature
? Overseeing the annual audit process and contracting with audit firm
? Ensuring timely and accurate filing of federal, state, and city tax forms and applications
? Continually assessing and regularly reporting to the Finance Committee and Board the financial status of the organization- including generating monthly financial reports for the Leadership Team and the Board including budget performance, cash flow, and other reports, as needed
Partnering With Director of Operations
? Working with the Director of Operations on the financial aspects of establishing, improving and maintaining efficient and cost-effective business operations for the organization, ensuring compliance with all organization policies, procedures and organizational bylaws and with State and Federal laws
? Overseeing the financial aspects of contract negotiations, rentals and coordinating with other departments as needed, including approving pricing and managing agreements with third parties Human Resources Administration (with support from Leadership Team, Operations Director and external HR)
? Planning and managing recruitment and selection of staff with the Leadership Team and Director of Operations
? Planning and conducting new employee orientations and new hire processing
? Overseeing maintenance of personnel files
? Managing payroll, benefits contracts and vendor relationships including health insurance, retirement plans, supplemental insurances, etc.
Qualifications: (Experience, Skills, Education):
? Bachelor degree in a relevant field or equivalent experience
? Minimum of 5 years’ experience in performing financial operations management for a business or non-profit, experience with live or theatrical venues a strong plus
? Solid math skills and ability to use spreadsheets to perform analyses
? Demonstrated experience in using, inputting, and obtaining information in QuickBooks, Microsoft Office suite (including Excel), email, Google apps, etc.
? Previous experience with online ticketing software preferred or the ability to learn new software applications
? Excellent written and verbal communication skills
? Comfort with an environment that can be very fast paced at times
? Willingness to acquire knowledge and communicate to the public regarding the organization's history, fundraising efforts, and programming
Physical Demands:
? Frequently required to sit for hours at a time in an indoor office environment
? Most work performed in indoors environments with little outdoor exposure to elements
? Occasional physical effort required (i.e. lifting up 25 lbs., etc.)
? This position requires the Finance Director to work on site at the Firehouse and some weekends and nights may be required.
