Job Description

Level: Professional- Mid-Level

Reports To: This position reports directly to the Executive Director.

Compensation: Hourly Non-Exempt Full Time – $17 per hour, paid bi-weekly

Work Hours: Minimum: 35 hours per week. Regular hours are Monday through Friday, 9am to 5pm. Attendance at evenings and early morning events/meetings are required and overtime will be paid for any approved hours worked in excess of 40 hours per week. Eligible for health benefits after 90 days.

Scope and Basic Functions: The ideal Communications & Sales Coordinator is passionate, dynamic and informed about the travel and tourism industry. The Communications & Sales Coordinator is a primary liaison to our members and must demonstrate value to existing members as well as to new members. The Communications & Sales Coordinator must be a strong team player as he/she will interact with the Executive Director, Visitor Center staff and Bookkeeper on a regular basis. The position supports the Executive Director in the daily operations of the North of Boston CVB. The ideal candidate is team-oriented and collaborative, creative and media savvy, organized and focused and highly driven to share the message of the NBCVB with members and the public. Problem solving and creative solution-finding are essential elements to this role. Excellence in written and verbal communication is a must.

Responsibilities include, but will not be limited to:

Recruiting of new memberships and retention of existing members.
Get familiar with members to introduce and connect them with one another for cross-promotional opportunities.
Maintaining and developing membership and advertising databases. Accurately contribute to and help to maintain the CVB’s membership databases and Constant Contact e-mail lists, communicating changes and additions to all staff (necessary for all staff).

Advertising Sales:
Coordinating, deal negotiation and implementing cooperative advertising opportunities. Sales efforts include Group Planner ad sales, Visitor Guide ad sales, and a variety of appropriate media throughout the year (print, digital, e-mail, special promotions).

Events/ Familiarization Tours/ Trade Shows:
Works with Executive Director and other CVB staff to develop and coordinate agency events such as monthly sales meetings, luncheons, fundraisers, annual dinner and annual Tourism Summit. Serves as front-line staff for all events. Point person for RSVP list for all CVB events & works with Executive Director to coordinate venue contacts & logistics.
Expected attendance and early arrival for setup at all CVB events (necessary for all staff).
Coordinating and implementing Familiarization Tours throughout the region. Fam Tours, also called fams or familiarization tours, are organized trips for travel agents, tour operators, tour wholesalers or other members of the travel trade for the purpose of educating and familiarizing them with tourism destinations. By seeing the destinations where they are sending travelers, the travel trade is better prepared to answer customer questions and promote travel to the location. Communications & Sales Coordinator is not required to attend all tours but should be present to greet the fams, as coordinated with Executive Director.
Trade show coordination and/or representation. (Hartford Courant Sun & Ski Travel Show, American Bus Association, NE Society of CVB’s, NS Chamber Business Expo, Small Market Meetings).

Social Media:
Update, maintain and track social media sites such as Facebook, Twitter, Pinterest, Instagram, Tumblr, YouTube, Blogs and other such media outlets; cross pollinate event calendars through local and regional outlets such as, whofish, etc.

Content management for – member listings support, calendar listings, events and contests pages/ WordPress.
Create content for all member communications, e-newsletters and consumer e-blasts/Constant Contact.
Assemble promotional giveaway packages for industry.
Processes invoices, payments and tickets for all organizational events.
Works closely with the Executive Director to execute CVB publications distribution to prospective visitors through walk-in, mail, email, and telephone inquiries as well as to local, regional and state-wide Information Centers/Chambers/DMO.
Assist in the collection of accounts receivables when necessary (necessary for all staff).
Monitoring and preparing reports and forecasts monthly, quarterly, and annually.
Prepare project updates for the Executive Director and Board of Directors as requested (necessary for all staff).
Providing as-needed administrative support for CVB staff, which includes but is not limited to responding to telephone and email inquiries, mail collection, tracking information for yearly audit, providing information and updates about member/consumer communications and social media, and visitor center staff administration, including scheduling, daily sales, and inventory.
Any other duties as assigned by Executive Director.

Knowledge, Skills and Abilities (KSAs) Required:
Strong familiarity with Essex County, Massachusetts.
Minimum 5 years’ experience in non-profit or private communications and sales. Experience in a destination marketing sales environment a plus.
Strong track record of over achievement against assigned quota.
Proven track record educating and selling multiple products at various levels.
Excel at prospecting and researching new and existing tourism-based and related businesses.
Excellent communication, negotiation and closing skills.
Superior verbal and written communication skills, including ability to describe, persuade and inform the public.
Ability to work with all levels within an organization, and handle diverse tasks.
Persuasive and collaborative interpersonal skills for effective project coordination.
Strong planning, project management and time management skills.
Proficient with Microsoft Office (Word, Excel, Power Point, Access, Outlook) and knowledge of website administration.
Skilled in social media, including web content/user interface design and related technologies.
Bachelor’s degree in related area such as Business, Marketing, English, Communications, Media, Creative Writing, etc.
Valid US Driver’s license required.
Reliable vehicle and willingness to travel in and around Essex County.

Work Environment (ADA Analysis):
Work is primarily performed at the Maria Miles Visitor Center, located on I-95 Southbound in Salisbury, a public facility that receives over 360,000 visitors annually. Client environments may vary. May be exposed to environmental conditions of moderate to high noise levels from visitors and traveling vehicles, occasional odors from composted waste system and vibrations from high-speed printers and other peripherals. Potentially exposed to hazards or atmospheric conditions at client sites. In most cases, worker is not substantially exposed to adverse environmental conditions. Work involves operation of personal computer equipment for 8 hours or more daily. Travel to various work-sites may be required, depending upon assignment. Category of Light work- occasionally exerting force to move objects, such as boxes of brochures, merchandise, banners, and other required promotional and event materials. Visual acuity requirements for Close visual acuity and Driving.

The North of Boston Convention and Visitors Bureau, Inc. (NBCVB) is a private, nonprofit, membership based organization responsible for promotion of Essex County as a travel destination. Established by legislation as one of the state’s 16 regional tourism councils, NBCVB is the official liaison between the North of Boston region and the Massachusetts Office of Travel and Tourism. The NBCVB has been in existence since 1955 and is located in Salisbury at the Maria Miles Visitor Center on I-95 South. The NBCVB is managed by a professional staff with the Executive Director responsible for the day-to-day operations of the agency. The overall mission of the NBCVB is to develop and implement effective marketing strategies to increase the number of overnight visitors to Massachusetts.
